Qualifications
High School diploma or equivalent with four years of administrative experience
Excellent customer service working with a wide constituent base
Strong commitment to communication and collaboration, MS Office
Fast and avid learner
Ability to multi-task in fast paced environment
Ability to communicate effectively orally and in writing, commitment to diversity and inclusion
Able to lift up to 50 pounds and be on feet for long periods
Board Effect software knowledge (training available)
Able to work independently and make sound decisions, and in a strong team environment
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience

Responsibilities
Manages front office operations including receiving and screening telephone calls and visitors, responding to general inquiries, managing office supplies, maintaining calendars, and providing administrative support for all engagement events
Maintains positive and professional demeanor while greeting and directing in person and over the phone traffic
Utilizes Board Effect (training available), a volunteer board management platform to communicate with board members, schedules meetings on behalf of the AVP, handles catering, parking, etc. for board meetings
Coordinates routine correspondence, posts data and information on Board Effect regularly
Attends meetings and takes minutes
Manages and organizes office materials and supplies, completes confidential data entry
Administratively supports all alumni engagement activities and events including the creation of nametags, event briefing folders, packing of supplies, and mailing of event materials
Provides administrative support to the AVP and Director of Alumni Engagement and Director of Alumni Communication and Recognition and additional staff as needed

  • Staffs the Alumni Association Board of Directors, made up to 20 diverse and influential community leaders, in support of the AVP. 
  • Utilizes Board Effect (training available), a volunteer board management platform to communicate with board members, schedules meetings on behalf of the AVP, handles catering, parking, etc. for board meetings. 
  • Coordinates routine correspondence, posts data and information on Board Effect regularly. Attends meetings and takes minutes.
