Position Overview

Baltimore’s Promise is seeking a full-time Program Associate to support the coordination, logistics, and administration of the Baltimore Summer Funding Collaborative (SFC). This role will serve as a key implementation point person of the SFC and report directly to the Senior Manager, Baltimore Summer Funding Collaborative. Working closely with the Senior Manager, the Program Associate will ensure both programmatic and data and evaluation objectives are achieved, key SFC deliverables are produced, and critical SFC processes (including but not limited to the SFC application launch and community review process) are organized, coordinated, and implemented smoothly.

The Program Associate position is an entry-level role for an individual with strong organizational, coordination, logistical, and communication skills. Baltimore’s Promise seeks candidates who demonstrate an interest in or existing knowledge of out-of-school time programs in Baltimore City, philanthropy, and building the capacity of non-profit youth development organizations to provide high-quality youth opportunities. Importantly, the Program Associate must be committed to the goal of expanding the quality and quantity of summer opportunities available to Baltimore City’s young people. The ideal candidate is proactive, solutions-oriented, a strong writer, an organized planner, and curious with a passion for learning and improvement.

About the Baltimore Summer Funding Collaborative

The Baltimore Summer Funding Collaborative (SFC or the Collaborative) is a partnership between public, private, and nonprofit organizations that supports high-quality summer programs that serve low-income youth in Baltimore City. While retaining individual priorities, members of the Collaborative share the same goal: funding diverse summer opportunities to help keep students engaged and reduce summer learning loss so that more youth have the chance to reach their full potential. Duties and Responsibilities

Due to the nature of this position, there may be certain periods of the year focused on one function whereas other times in the year may require focus on a different function or set of responsibilities.

Project Coordination and Implementation

Serve as a key coordination and implementation point person for the SFC by doing the following:

  • Support the development and execution of key components of the SFC process that are critical to the success of the SFC, including but not limited to the following:
  • Development of the SFC application
  • SFC website and social media platforms
  • SFC application and submission process
  • Technical review of submitted materials     
  • Generating and sending award and decline letters     
  • Serve as the coordination, logistics, and scheduling lead of the following aspects of the SFC
  • Organization of submitted applications
  • The SFC Community Review Process
  • Site visit scheduling
  • Grantee and applicant events
  • SFC meetings and workgroup meetings
  • Vendor and community reviewer payments
  • Work closely with the Baltimore’s Promise Data Team to establish an SFC file saving protocol and maintain administrative data quality at all stages of the project cycle
  • Support the Senior Manager in monitoring and/or following up with programmatic contractors and vendors necessary to the administration of the SFC
  • Generate ideas and practices based in data, evidence, and experience that can improve the efficiencies and processes of the SFC

Stakeholder Engagement   

  • Provide logistical and facilitation support for all SFC workgroups and the full group meetings and support the execution of action items determined from meetings by the appropriate party by the agreed-upon deliverable dates
  • With support and direction from the Senior Manager, draft SFC meeting agendas and compile meeting packets based on prior meeting input, time-sensitive decision-items, and decision items or discussion points elevated from SFC workgroups
  • Maintain an up-to-date database of youth and parent/community reviewers in Salesforce for both SFC review purposes and Baltimore’s Promise’s youth and community engagement work
  • Schedule all meetings related to the SFC and address logistical concerns for SFC meetings
  • Schedule internal check-ins with relevant team members in advance of major external meetings or presentations 
  • Keep accurate contact lists, including but not limited to SFC members, workgroup members, out-of-school time providers, contractors, and vendors
  • Coordinate all SFC workgroup meetings, including meeting logistics, funder coordination, and preparation of materials
  • Support the coordination and monitoring of professional development and technical assistance opportunities for SFC Grantees

External Communication   

  • Develop content for and maintain the Summer Funding Collaborative website and social media accounts
  • Provide excellent customer service to SFC applicants, grantees, funders, prospective funders, and other stakeholders through written, electronic, and phone communication
  • Communicate with and/or respond to inquiries on behalf of the SFC, in consultation with Senior Manager     
  • Field data requests from funders and external parties according to the SFC data sharing protocol

Other Responsibilities

  • Provide staffing support on Baltimore’s Promise initiatives and fee-for-service projects as assigned
  • Support the implementation and outreach efforts for community review and/or youth review processes for other Baltimore’s Promise initiatives 

In addition to the aforementioned responsibilities, all Baltimore’s Promise staff are expected to seek out and take advantage of opportunities that our partners and our community provide for us to learn, connect, and show up to support values-aligned efforts in Baltimore. In particular, staff are encouraged to be in spaces that are focused on Black, Indigenous, and People of Color (BIPOC) youth and young adults and stakeholders who directly relate to their portfolio of work and professional network.

Qualifications (Knowledge, Skills, Abilities)

  • One year of experience, inclusive of volunteer or internship experience, in youth development, human services, philanthropy, or other similar contexts.
  • Knowledge of the Baltimore City out-of-school time systems and its providers and partners is highly desired.
  • Baltimore City residency (strongly preferred)
  • Demonstrated alignment to Baltimore’s Promise’s values and ways of working

  • Proficiency in the following software platforms, or demonstrated ability to learn technical platforms quickly and comprehensively: Microsoft Office suite, Zoom, Google applications (Drive, Docs, Sheets, Slides), Dropbox, Adobe Acrobat, Formstack (online form builder with conditional logic function), Salesforce (online database and data entry), Weebly.
  • Excellent project management and organizational skills
  • Excellent attention to detail
  • Ability to work independently and follow a work plan(s) based on a known set of upcoming deliverables and targets as well as develop work plans with the guidance of a supervisor
  • Ability to work in collaboration with diverse groups     
  • Excellent written and oral communications skills and strong interpersonal skills
  • Maintain confidentiality and exercise discretion when routinely handling sensitive information
  • Understanding of the social, racial, and economic context of Baltimore City and having the ability (or willingness to learn how) to apply a race equity and inclusion lens to all aspects of work
  • Possess the following characteristics: enduring curiosity, proactive communication, collaborative spirit and a commitment to collective impact, humility, a good sense of humor, and the desire to continuously learn and improve, and emotional intelligence.

TRAVEL

Periodic travel to meetings may be necessary, but in general, very little travel outside of Baltimore City is required.
