- Description
- The Enoch Pratt Free Library is looking for an experienced professional to lead the Acquisitions Unit of the Collection Development Department.
Under the supervision of the Collection Development Department Assistant Manager, the Administrative Coordinator runs the daily operations of the Acquisitions Unit. This unit oversees the acquisitions of all materials purchases within the Library’s collections budget. The Administrative Coordinator manages the allocations, expenditure and tracking of all physical and electronic resources from within the library’s Integrated Library System (ILS).
This position works closely with the Library’s Business Office to assure submission and tracking of payments, with the Technical Services Department to track and manage shipments, and the Digital Resources Department to support electronic Acquisitions. The Coordinator also works closely with the Selection Team to support and track the use of allocated funds.
The library is searching for an innovative team leader to drive new workflows and efficiencies for the Acquisitions unit, to run tracking and spending reports, and to manage the year end budget reconciliation process for the department. - Summary of Duties

The Administrative Coordinator:- Oversees all acquisitions processes and workflows including fund management, order and invoice tracking and payment, and end of year budget reconciliation for the Collection Development Department.
- Supervises two (2) Acquisitions unit staff members.
- Manages the allocation and tracking of the Library’s materials budget within the Integrated Library System (ILS) and coordinates vendor payments with the Library’s Business Office.
- Serves as a point of contact between the library’s Business Office, Collection Development and vendors on Acquisitions matters.
- Identifies, recommends and creates pertinent Acquisitions reports for Acquisitions Unit staff.
- Demonstrates excellent customer service skills, acting as the library’s point of contact for billing issues and liaison with the Library’s Business Office.
- Keeps in consistent contact with the library’s Selection Unit regarding fund use, order lists, budget amounts, etc.
- Serves as the departmental expert for the SIRSIDynix Acquisitions module and keeps abreast of professional best practices in Acquisitions.
- Minimum Qualifications
Minimum Qualifications
- Associate’s degree
- Excellent written and oral communications skills.
- Strong organizational, analytical, and problem-solving skills
- 2 years supervisory experience
- Familiarity with SIRSI Workflows Acquisitions modules or other Integrated Library System.
- Familiarity with acquisitions reports and end of year rollover processes.
- Finance, accounting, and/or bookkeeping experience preferred.
- Commitment to professional growth and development with a record of professional activity.
- Ability to complete tasks with minimal supervision

- Excellent communication skills
- Ability to work cooperatively in a collaborative setting
