The Park School is a non-sectarian, independent, coeducational day school of 820 students from Pre-Kindergarten through Grade 12. Founded in 1912 as one of the early progressive schools, The Park School continues to practice a distinct educational philosophy. The Position: Executive Assistant and Re-enrollment Manager, 12 months, non-exempt

The Executive Assistant and Re-enrollment Manager works closely with and provides administrative services to support the Head of School’s office. Troubleshoots and resolves problems/complaints from faculty, staff, students and parents. Coordinates and participates in the routine administrative functions including scheduling front desk coverage. Interfaces with departments, external agencies, the general public, and representatives of consultant groups in coordinating of administrative services. Assists in the planning and development of operating policies and procedures. Coordinates special projects, organizes and updates written materials, manages records, handles mailings, and provides general office support. Independently manages the annual re-enrollment process. Exercises discretion to approve or deny exception requests. Requests and reviews documentation to decipher parental rights and responsibilities for each student relating to re-enrollment obligations. This is a full-time, 40-45 hour per week position.

Responsibilities/Expectations:

Head of School Administrative Functions (10%-30% fluctuates with peak months)

Manages a complex calendar schedule for the Head of School including regular and non-routine meetings with the Board of Trustees, administrators, faculty, parents, students and outside groups and individuals; maintains events on Master Calendar for Head, Board, faculty and administrators; provides input to annual calendar preparation.

Board of Trustees (5%-30% fluctuates with peak months)

Prepares for and attends monthly Board meetings and bi-weekly Executive Committee meetings; takes minutes for both groups; prepares presentations and reports, sets up and runs technical equipment as requested; supports Board president and trustee committees throughout the year, manages calendar of meetings, produces annual trustee binders; maintains Board materials for archives; arranges or assists with special Board events throughout the year; performs other duties as needed.

Re-enrollment (80%-30% fluctuates with peak months)

Manages re-enrollment process. Coordinates and facilitates team meetings with several offices to develop and plan the re-enrollment process. Prepares and executes online re-enrollment; amends legal documents as required for special circumstances; manages enrollment database and follow-up process with parents, administrators, faculty and internal offices/divisions. Considers exception requests with authority to issue determinations.

Overall Administrative Support (5%-10% fluctuates with peak months)

Supports the daily operations of the office of the Head of School. Maintain relationships with faculty and staff; act as a liaison with internal offices/divisions and outside affiliations such as AIMS, NAIS, MGP/BCF, IAAM, MIAA, B.E.S.T. as well as area independent schools; anticipates needs and assists Head in managing priorities, handling multiple tasks, and responding to unscheduled, immediate requests; support a diverse group of important callers and visitors, using discretion in handling confidential and non-routine information; coordinates group dinners with Head and graduating seniors; produces employee statistics for Faculty Handbook and Park website; coordinates and maintains school-wide office supplies with AA to Associate Head of School (order, receive, organize supplies, handle invoices/payments); answer phones, handles mail, manages travel arrangements, expense reports, reimbursement requests, and Head’s correspondences. Supports preparation and execution of new employee events and all-employee holiday and year-end events; schedules all-school meetings and provides technical support (presentation software prep, technical setup); purchases and sets up refreshments for meetings as requested; arranges and assists with switchboard coverage.

Other duties may be requested or assigned.

Work Hours and Days:

40-45 hours per week, non-exempt position. Ability to work evenings and weekends as needed, in particular eight 3-hour evening Board meetings, September through June.

Qualifications:

Education and Experience

  • Bachelor’s degree and 4 years or more relevant experience a must.

Job Knowledge, Skills and Abilities

  • Proficiency in Microsoft Office required (Outlook, Word, Excel, Power Point).
  • Excellent oral and written communication skills.
  • Great attention to detail in composing and proofing material, establishing priorities and meeting deadlines.
  • Must have excellent organizational skills, the ability to exercise discretion and perform work independently.
  • Must have ability to maintain absolute confidentiality and professionalism.
  • Intermediate analytical ability is required to gather and summarize data for reports, find solutions to various administrative problems and prioritize work.

Physical Demands:

  • Required to remain stationary for long periods of time.
  • Infrequent light physical effort required.

Tuition Remission

Under current policy, employees who have been employed at Park full-time for two years are eligible to receive full tuition remission for their children who attend Park.
