The SEED School of Maryland (SEED MD) is a statewide, public, college-preparatory boarding school that opened in August 2008. SEED MD educates and boards 400 students in grades six through twelve. The SEED School is an extraordinary educational opportunity for students across the state to receive a tuition-free, college-preparatory, boarding education.

SEED MD combines a rigorous and engaging academic curriculum with life skills and enrichment activities to provide students with a thoughtfully balanced learning and living experience. Students and their families commit to a seven-year educational program that offers small class sizes, high quality teaching and learning experiences, mentoring, community service, and extracurricular activities such as sports and arts. SUMMARY

With limited supervision, the Administrative Support Associate performs a variety of administrative support work; greets, interacts and works cooperatively with the students, staff, parents and the public, and performs other duties as assigned. This position requires the ability to anticipate tasks that need to be done to work independently and reports to the Chief of Staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Meets and interacts with students, staff, parents and visitors in routine situations which require tact, discretion and courtesy
  • Directs students, staff, parents and visitors as needed
  • Receives and screens telephone calls to provide information, take messages or transfer calls
  • Serves as the primary back up for the school’s receptionist
  • Sorts and classifies incoming mail and other information for efficient disbursement to appropriate recipients
  • Composes and prepares letters, memoranda, reports, bulletins, handbooks and questionnaires
  • Receives and processes order requests
  • Maintains budget summaries
  • Creates, formats, updates and prepares staff reports, handbooks, manuals, certificates, flyers and other documents
  • Coordinates a variety of programs and/or activities (ie – conference room usage, meetings, professional development activities, field trips, travel and accommodations, etc) for the purpose of ensuring availability of facilities and/or equipment
  • Maintains manual and electronic documents, files and records (ie – staff emergency contact forms, staff attendance records, etc)
  • Orders supplies, materials and equipment
  • Set up conference rooms for meetings
  • Supervises the bus drivers and aides
  • Handles and organizes transportation for students with the vendor
  • Coordinates bus routes and partnerships with transportation sites
  • Manages the schedule for the school bus and coordinates bus use with the operations department
  • Processes food and nutrition claims and reports
  • Supports the food service program
  • Participates in meetings as assigned for the purpose of conveying and /or gathering information
  • Researches various topics, etc as requested
  • Supports assigned administrative personnel to provide assistance with administrative functions
  • Responds to inquiries from a variety of internal and external individuals (ie – staff, parents, students, public agencies, etc) for the purpose of providing information, facilitating communication among departments and/or providing direction
  • Provide exceptional customer service to current families at the school
  • Communicate regularly with the Chief of Staff about issues and concerns
  • Adhere to the professional and ethical standards as outlined in the SEED Staff Manual
  • Performs other duties as assigned

MINIMUM QUALIFICATIONS and SKILLS

  • High school diploma with at least three years of administrative experience
  • Bachelor’s Degree in business administration or related field and two years of administrative experience is preferred
  • Type at least 45 words per minute
  • Experience with using Microsoft Office and office equipment

Experience in an academic setting or similar setting preferred

  • Knowledge and proficiency using Microsoft Office and other technology
  • Ability to handle confidential information with complete security

  • Ability to work from 8:30am to 5:00pm with hours subject to change based on need

PHYSICAL REQUIREMENTS

While performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop; kneel; crouch or crawl; talk or hear; taste or smell. The employee must be able to lift and/or move boxes up to 25 lbs. in weight. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

WORKING CONDITIONS

While performing the duties of this job the employee is exposed to a noise level in the work environment that is usually moderate. The work involves everyday risks and discomforts which require normal safety precautions typical of such places as classrooms, dorms, offices, meeting and training rooms, etc. The work area is adequately lighted, heated and ventilated.
