Responsibilities:

The Administrative Assistant will provide administrative support for the Office of Undergraduate Admissions and Orientation in the areas of territory management, including travel, communications and database management as well as general administrative support for the Director of Undergraduate Admissions and Orientation and backup support for the reception area.

The position will also assist with coordinating recruitment and conference travel for all territory managers in the office, including college fair and recruitment event invitations and payments, hotel reservations and payments, flights and transportation arrangements, car fleet maintenance, procurements processes and vendor relationships with outside partners. It will also support the office’s print and digital campaigns related to these recruitment activities. Finally, this position will be required to support all staff in their use of Salesforce, overseeing territory assignments, data quality assurance, SalesCloud communications, report functionality and dashboard management.

Other responsibilities include orientation programming, including inventory support purchasing and vendor relationships with outside partners.

Required Minimum Qualifications:
  • High School Diploma or GED
  • Three years of experience providing administrative support
  • Ability to plan, organize, prioritize and execute multiple and continuing assignments with general instructions
  • Ability to interact effectively with student workers and admission fellows
  • Highly proficient in use of various software packages, including word processing, spreadsheets, database, presentation programs, Internet browsers, email and calendaring
  • Ability to clearly communicate effectively both verbally and in writing
  • Ability to establish priorities and proceed with objectives with limited supervision
  • Ability to proofread and edit written documents

Note: Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Preferred Qualifications: 
  • Experience providing administrative support in higher education setting
  • Experience with CRM systems
