Qualifications
At least 3 years of administrative assistance experience, preferably with C-Suite Executives
Experience in nonprofits, education, or technology is highly valued
High level of interpersonal and ethical skills to handle sensitive and confidential information, situations, and documentation
Superb verbal and written communication skills with attention to detail in composing and editing materials
Ability to work independently, including managing multiple deadlines and proactively identifying and completing tasks
Ability to collaborate on informal and formal team-based projects
Proficient with Google Suite (Sheets, Docs, Slides)
Responsibilities
At Digital Harbor Foundation, the Administrative Coordinator is responsible for supporting the Deputy Director and Development Director in a timely and professional manner
Main duties will include support in processing inbound communications, coordinating meetings, organizing the Deputy Director’s and Development Director’s calendars, creating agendas, tracking action items, and handling physical mail for Digital Harbor Foundation’s Tech Lab
To be successful in this role they should be proactive, meet deadlines, and communicate effectively in order to identify and address the needs of the Deputy Director and Development Director, and perform administrative tasks to ensure the organization’s workflow runs smoothly
This position is primarily remote with occasional in-office visits to the Baltimore, MD office to handle mail approximately two times per week
Communication: Composes and prepares correspondence, which at times may at times be sensitive and/or confidential
Processes in-bound communications and prioritizes items for review by Deputy Director and Development Director
Communicates directly, and on behalf of the Deputy Director and Development Director with donors, staff, and others
Follows up on contacts made by the Deputy Director and Development Director and supports the cultivation of ongoing relationships
Communicates and collaborates with the Executive Assistant to address tasks from Deputy Director, Development Director, and Senior Management
Scheduling & Planning: Arranges travel plans, itineraries, and other logistics as beneficial for Deputy Director and Development Director as requested
Plans, coordinates, and ensures the Deputy Director’s and Development Director’s schedules are followed and respected to provide ability for focus, and appropriate preparation for access to Deputy Director’s and Development Director’s time
Project Management: Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Deputy Director and/or Development Director, including creating draft recommendations where appropriate
Reviews items for completeness before review by Deputy Director and/or Development Director
Works closely and effectively with the Deputy Director and Development Director to keep them well informed of upcoming commitments and responsibilities, following up appropriately
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
General Administrative Support
Distribution & Organization: Retrieve, sort, and disseminate mail as appropriate in our Baltimore office
Maintain an efficient filing system for storage and classification of digital documents
Documentation: Compile and distribute meeting minutes to attendees in a timely manner
Prepare spreadsheets and reports when requested
Procurement: Assist in the ordering of supplies and technology for the office and employees
Communication & Support: Assist with office communication such as memos, forms, emails, etc
Assist the Operations Manager with administrative tasks as requested
